Zip Backup to CD version 3, Help file

Introduction

Zip Backup to CD is designed to backup your data files using the standard Zip file format, allowing backup files to be viewed and restored with most zip file utilities. Zip Backup to CD distributes the files to be backedup in several stand alone Zip files of a size fitting a standard writable CD (CD-R) or a size chosen by the user. If a file is to big to fit in the Zip file it is splited over more Zip files. Zip Backup to CD has a build in CD burner and can burn the Zip files to CD-RW, CD-R, DVD+RW, DVD+R, DVD-RW or DVD-R without any third party program. Therefore it can backup your files to hard drives, network drives, ZIP drives, JAZ, SyQuest, writable CD or DVD, and most other removable media's. Zip Backup to CD supports conventional or Universal Naming Convention (UNC) file names, allowing access to all local and LAN Directories using Industry standard 32-bit long directory and file names. The integrated zip-extractor allows the restoring of your backup files. Zip Backup to CD has its own scheduler supporting unattended auto-backup and scheduling of any specific Time or Date, Day of the week or Month. It also has command-line support for further automatisation. Zip Backup to CD supports backup of in-use and open files as long as the application that is using the file does not have it locked for read access. Zip Backup to CD can also send an Email notification with the log file attached after a job is finished.

Registration

The name and the key which you got after ordering has to be typed in the appropriated field exact as you find it on your license or order confirmation. Please note that the name is case sensitive.

In the Zip Backup to CD menu "Help", "Register Zip Backup to CD" type name and key exactly as written.

Often registration codes are very difficult to re-create by typing. It is possible that this simple copy and paste function can help you. The registration code you have received is very sensitive. What this means is that your registration information would need to be entered exactly the same way for the product to work.

You may want to try to copy and paste the registration information into the fields of the program that prompt you for the code. The way to do this is to highlight the registration code with your mouse from the email message with your code in it. Then right click your mouse, you will get a pop up menu that gives you the option to "copy". Choose this option to copy.

Now, click the cursor into the registration code field and then right click to choose the option to "paste". This function should move the information from the email message with the code in it to the registration field of Zip Backup to CD without typing anything at all.

If you are not given the option to copy and paste from your right mouse button, you may also try to use the key codes to copy and paste. To copy all you need to do is highlight the text you want to copy, and then press the CNTRL key and the C key at the same time. To paste you need simply use the CNTRL key and the V key at the same time. This will do essentially the same as the mouse click method.

Backup

How to make a Backup.

1. Select the "File" menu "New Backup Job".

2. Right click on the "Folders and files to backup" and add the folders and files to backup.

3. Right click on the "Folders and files to exclude" and add the folders and files which shall be excluded from the backup.

4. Left click on the "Path" field or the folder icon to the right from the path field and select the drive or folder where the backup files shall be saved. If your destination drive is a USB CD burner it might be necessary to select the device instead of the drive. If the destination is a CD/DVD burner and the media used are a CD-RW you may also decide if the media shall be erased before use by checking "Disc Erase / Full Erase".

5. Select the size of the backup files in the field "Zip file size", 650 for a standard CD-R.

6. Mark the field "All" if all files shall be backed up or "Changed" if only new and changed files shall be backed up. To determine if a file is new or changed the program will use the archive bit or the selected catalogue if the field "Cat." Is checked.

7. Check "Clear Abit" (clear archive bit) if you intend only to backup the files changed after this backup the next time you make a backup. If you will use the catalogue to determine which files are new and changed you do not need to clear the archive bit.

8. Save the backup for future use, select the "File" menu "Save Backup Job As.."

9. Press the "Start" button to start the backup.

To open an existing backup job select: files/open backup job.

To create a new backup job select Files/New Backup Job. Now you are ready to add the folders to backup select: Backup/Add folder to backup. Continue with adding all the folders which you want to backup.

Decide if all files in the selected folders shall be backed up or only the files that have been changed since the last backup where the archive bit was cleared shall be backed up.

Check the field clear archive bit to get the archive bit of the backed up files cleared after they have been backed up. This makes it possible afterwards to make backup of only the files changed since the last full backup. You also have the possibility to use a catalog to make backup of the files which are new or changed since the last backup.

In addition to above selection you also have the option to backup files which have been changed after a specific date and time by checking the field After and submitting a date and time. A special feature is the possibility to use automatically the date and time for the last execution of a backup job as the newer than date and time. The feature is enabled or disabled with the menu Backup/Use Last runtime as newer than. This feature is especially useful if you want to make backup copies in very short intervals to have the possibility of saving the different stages of a project.

The Zip file created will normally get a name in this format 000627100ac.zip according to the date and followed by a number starting with 100 for the first file created this day. After the number may follow an "a" which means that only files with the archive attributes set (files changed since last backup) have been backed up or a "c" which means that it is a copy and the archive attributes have not been cleared after the backup of the files. You can also specify a name which shall precede the creating number. Now it should be decided where the backup files shall be stored. It is recommended to store the file on a fixed disk drive before copying it to a CD-R. The Zip file size can be specified by selecting one of the fixed sizes or by specifying your own size. When the Zip file has achieved the selected size, the program will continue to create the next file if there is enough free space on the destination drive. If there is not enough free space, the program will stop the zipping process and allow the user to insert a new removable media or copy the created file to a CD-R and thereafter delete the file to make free space. If there is enough free space in the temp directory the zipping process will continue and the user will be asked to for new medias when the zipping process is finished.

The user can select the compression factor. Selecting a compression factor over middle will slow down the zipping process and should only be used if the Zip file size is of great importance.

Backup all or changed files

Backup all or new and changed files

Decide if all files in the selected folders shall be backed up or only the files that have been changed since the last backup where the archive bit was cleared shall be backed up. You also have the possibility to use a catalog to make backup of the files, which are new or changed since the last backup. You have to check the Cat field and make sure that the selected catalog name is the one with the appropriate information's to use a catalog.

Newer than

Backup files newer than

Backup files which have been changed after a specific date and time by checking the field After and submitting a date and time. A special feature is the possibility to use automatically the date and time for the last execution of a backup job as the newer than date and time. The feature is enabled or disabled with the menu Backup/Use Last runtime as newer than. This feature is especially useful if you want to make backup copies in very short intervals to have the possibility of saveing the different stages of a project.

Archive bit

Clear archive bit

Check the field clear archive bit to get the archive bit of the backed up files cleared after they have been backed up. This makes it possible afterwards to make backup of only the files changed since the last full backup. You also have the possibility to use a catalog to make backup of the files, which are new or changed since the last backup. You have to check the Cat field and make sure that the selected catalog name is the one with the appropriate information's to use a catalog.

Selecting files

Files to backup

It is possible to drag files from the Windows Explorer and drop them on the include and exclude file lists. You may use wild cards (*) and it is possible to specify more than one condition per selection:

C:\test\*.doc|*.txt|*.xls
will backup all files in C:\test and its subdirectories with the extension doc, txt, xls.

It is not allowed to specify folder and file specifications on the same line. Folder specifications always ends with a "\" if the last character is different it is seen as a file name specification.

Including folder information

Folder information and attribute

If the information and attribute of all folders shall be saved in the Zip archive the "Backup" "Files to backup" "Include folder information" must me checked.

Including registry

Save the registry in the backup To backup the registry on Windows NT4, 2000 and XP systems Zip Backup to CD uses NT Backup, which is a part of the operating system. In Windows XP home edition the NT Backup is not installed by default, so you have to install it manually. The NT Backup is on the Windows XP CD in the \VALUEADD\MSFT\NTBACKUP directory.

Including system state

Save the system state in the backup The system state is a backup set including all the important Windows system files also the locked files. To backup the locked system files on Windows NT4, 2000 and XP systems Zip Backup to CD uses NT Backup, which is a part of the operating system. In Windows XP home edition the NT Backup is not installed by default, so you have to install it manually. The NT Backup is on the Windows XP CD in the \VALUEADD\MSFT\NTBACKUP directory. If you need to restore the files in the system state you have to use the NT Backup after you have extracted it from the Zip archive.

Include file catalog

File catalog in csv format When this is selected a file with all the file names and file information's are saved in a file in csv format this file can be opened in most spreadsheet programs. This catalog has nothing to do with the catalog used to control the backup job. It is a option and it is not used by Zip Backup to CD for any purpose.

Excluding files

Files to exclude from the backup

You may use wild cards (*) and it is possible to specify more than one condition per selection:

C:\test\*.doc|*.txt|*.xls
will exclude all files in C:\test and its subdirectories with the extension doc, txt, xls.

*.doc|*.txt|*.xls
will exclude all files the extension doc, txt, xls.

C:\test\
will exclude the folder C:\test\ and all subdirectories.

C:\*test*\
will exclude all folders on drive C: with the word test in the path.

C:\*\pro*\
will exclude all folders on drive C: starting with the word pro in a directory.

C:\*files\*\
will exclude all folders on drive C: ending with the word files in a directory.

C:\*\temp\*\
will exclude all folders on drive C: with the name temp.

C:\|*\temp\*\|*files\*\|*\pro*\|*test*\
will exclude all directories meeting the filter specifications above on drive C:

It is not allowed to specify folder and file specifications on the same line. Folder specifications always ends with a "\" if the last character is different it is seen as a file name specification.

Destination

Chose the destination for your Zip files If your CD/DVD drive does not support selection by drive letter you can select it by device use the drop down box in the destination section to select the drive. When the devise is selected the drive letter in the destination path will be ignored and it is not possible to specify multiple destinations. Automatically change destination when the first destination is full. Manually apply the destinations separated with a | e.g. H:|G:| this will let the program save the files to H:\ as long as there is enough free space and thereafter continue with G:\. It is allowed to specify folders on the destination drive e.g. H:\data\|G:\Another Dir\|.

Destination file name

Zip file name

If you live the destination file name blank the Zip file created will normally get a name in this format 20030627101ac.zip according to the date and followed by a number starting with 101 for the first file created this day. After the number may follow an "a" which means that only new or changed files since last backup have been backed up. This may be determined from the archive attributes of the files or the date time from the catalogue entries. If the number is followed by a "c" it means that it is a copy and the archive attributes have not been cleared after the backup of the files. You can also specify a name which shall precede the creating number. If you do so only specify the preceding part Data would result in files with the name Data101.zip. Using the %DATE% in the name would enable you to specify a name with the date where the backup job was started, Data%DATE% would result in a file with the name Data20030723101.zip. The date format is YYYYMMDD, year month day.

If this field is red existing files with the same name will be overwritten. This behavior is controlled from the menu "Backup", "Overwrite Existing Zip Files"

Catalog file name

File name of the catalog files to be used

Specify the name of the catalog file to be used in connection with the backup job. If the catalog name is left blank the catalog with the same name as the backup job will be used. The catalog is updated when you make a backup and the Cat field is checked. It is possible to specify more catalogs to be updated. Separating more catalog names in the catalog field with the "|" character will result in that the only the first catalog is used for checking if changed and newer than, and all the following catalogs are updated. The first catalog is not updated so it has to be listed twice if it has to be updated. If you would like to make a backup of the files, which was changed or are new, you have to select changed and check the Cat field and make sure that the selected catalog name is the one with the appropriate information's. It is possible to use the same catalog file for different backup jobs, the catalog file names to be used with a backup job is stored in the backup job file.

Compression factor

Compression factor for the Zip archive

The user can select the compression factor. Selecting a compression factor over middle will slow down the zipping process and should only be used if the Zip file size is of great importance. If you select a compression factor of 0 the files are not compressed but only saved. It is very fast and if the files to backup are music, film or picture they are normally already compressed and the gain in Zip archive size are small.

Max Zip size

The max Zip archive file size

Select the size of the Zip archive files in the field "Zip file size" or specify your own size by typing an number between 10 and 4000. The size for a standard CD is 650. Max file size is 4294967295 bytes, 4.095 GB. This limit is due to the zip file format. Allowing files bigger than 4 GB would need more than 32 bit to save the file size information in the zip file, resulting in a files which is not according to the zip file specifications. The file size limitation apply to the resulting zip file and any file to be archived in the zip file.

When working with large files it is important to select a temporary directory on a disk with at least the same amount of free space as the compressed file size of the biggest file, if the option split large files are selected you need at least the the amount of free space as the compressed files size of the biggest file plus the amount of the max zip size selected.

Max files and folder infos in one zip file is 65000, this limit is due to the zip file format specifications. You do not need to worry about this as Zip Backup to CD will handle it for you. If the 65000 files and folder infos are reached the program will start on a new zip file.

Use password

If you supply a password here it will be saved with the backup job and used to password protect the zip files created with this job.

Full drive info in Zip archive

This option will store the file path in the zip file including the drive letter "C:\data\". Zip files with drive letter in the path are not compatible with all zip utilities. If you need drive letter information and full zip compatibility use "Drive info in Zip archive as folder".

Drive info in Zip archive as folder

This option will store the file path in the zip file including the drive letter as a folder, "C:\data\" = "C\data\". Zip files with drive letter in the path are compatible with all zip utilities.

Optimize used space

When this option is selected the files to be backed op will be sorted so that very big files will be placed in the first zip archive and the rest space will be filled with smaller files. This option will give the best usages of the space on the destination media. If you do not select this option the files will be saved in alphabetic order, when the next file does not fit the rest space available on the media the job continues with the next media or zip archive.

Split large files

This option enable the splitting of files up to 4.2 GB over a number of smaller zip files.

Verify zip file after backup

This option will test the integrity of any new created zip file to ensure that it can be successfully unzipped.

XP compatible file names

Foreign characters are stored in a different way in the Windows versions, to make sure that the characters are shown correct when you display a zip archive in the Windows XP explorer you need to enable this option.

Restore

How to restore files.

1. Select the menu "Restore", "Open Files to Restore From" and select the zip file containing the files to be restored.

2. Mark the files to be restored by double clicking them or pressing the spacebar, If the Ctrl key is hold down when you select the next file, the already marked files remain selected. To mark all files simply press Ctrl+A when in the file list.

3. If you have included full drive information in your backup, you may use the original location as destination by checking Add stored path to Destination. Decide where the files shall be restored

4. Decide if existing files shall be overwritten. You can choose: Never, If older or Always.

5. If the files shall be restored to a location that is different from the original location, then click on the field "Destination Path" and select the location where the files shall be saved.

6. To remove a part at the beginning of the stored path information write this part in the field "Remove this part". Do not begin with a \ character (back slash). If the stored path information includes disk volume information, then it shall also be included. If it is not a sub string at the beginning of the stored path information, then this will have no influence on the restore operation.

To start the restoring process of one or more files start with opening the Zip file containing the files by selecting the menu Restore/Open file to restore from. You may also use any other Zip program to unzip the files from the Zip file.

Select the folder, drive or network share where the files shall be restored to. Check the field Add stored path to destination path to get the restored files placed in the same folders as the original one, from which it was backed up. Unchecking this field will restore all files in the destination path regardless of their original path.

Decide if the files restored shall overwrite existing files and when the files shall be overwritten.

Mark the files which shall be restored and press start to begin the restoring.

It is possible to change the sort order of the file list by double clicking the column header.

Catalog

Catalog files

The catalog is a file which contains information on all the files in the zip files which it was used together with or which was manually added to the catalog. The catalog can be used to determine which files needs to be backed up or to find the name of the zip file in which a file where archived. The catalog is enabled if the Cat field are checked, if the catalog name is left blank the catalog with the same name as the backup job will be used. The catalog is updated when you make a backup and the Cat field is checked. It is possible to specify more catalogs to be updated. Separating more catalog names in the catalog field with the "|" character will result in that the only the first catalog is used for checking if changed and newer than, and all the following catalogs are updated. The first catalog is not updated so it has to be listed twice if it have to be updated. If you would like to make a backup of the files which was changed or are new you have to select changed and check the Cat field and make sure that the selected catalog name is the one with the appropriate informations. It is possible to use the same catalog file for different backup jobs, the catalog file names to be used with a backup job is stored in the backup job file.

Working with catalogs

Select the catalog tab and open the catalog file which you would like to work with. You may sort the displayed columns by clicking on the column name. The column name which is displayed on a green background is the one which are sorted. The find function works on the sorted column. If you have found a file which you would like to restore just press on open zip file and the zip file in question will be opened in the restore tab.

The folder information's is normally not shown in the catalog if you wish to have them displayed you have to check the show folders field.

The files shown are normally only the newest one, if you would like to see all the files check the show duplicate field. Now you are able to see how many versions from different dates you have of on file and in which zip file the are archived.

If you have a zip file which should be part of the opened catalog select add zip file to catalog. Removing zip files from a catalog select a file which are archived in the zip file you will remove and select remove zip file from catalog.

Advantages of using catalog files instead of relying on the archive bit is that you can make incremental and differential backup without having write permission to the files you are backing up.

Incremental backups include only the files that have been modified since the last backup, and normally the archive bit are cleared. The catalog enables you to make a incremental backup without clearing the archive bit. If you have to make a complete restore you would need the complete backup and all the incremental backups. The advantage is that it needs a minimum of space as only changed files are backed up. If you need to find the newest version of a particularly file you would need to go trough all the backup files to find the file, with the catalog the information on where to find the file is a few finger tips away, you do not need to mess with all the backup files you go direct to the right file.

Differential backups include the files that have been changed since the last full backup or incremental backup, and it does not clear the archive bit after the backup. Differential backup is a different type of incremental backup, and the advantages are that you only would have to have the complete backup and the last differential backup to make a complete restore.

How do I make a incremental backup, open the backup job with the complete backup and use save as to save it with a new name. Change from all to changed make sure the catalog (Cat) field are checked and the catalog file name is the same as the one which was used for the full backup. If you would like it you can clear the archive bit after backup if you check the clear the archive bit (Clear Abit), but it is not necessary when you use catalog. Remember to save the backup job.

How do I make a differential backup, open the backup job with the complete backup and use save as to save it with a new name. Change from all to changed make sure the catalog (Cat) field are checked and the catalog file name is the same as the one which was used for the complete backup. Check the field after and type the start date and time of the last full backup. Remember to save the backup job.

6. Mark the field “All selected files” if all files shall be backed up or “New and changed files” if only the files with the archive bit set shall be backed up.

7. Check “Clear archive bit” if you intend only to backup the files changed after this backup the next time you make a backup.

8. Save the backup for future use, select the “File” menu “Save Backup Job As..”

9. Press the “Start” button to start the backup.

To open an existing backup job select: files/open backup job.

To create a new backup job mark all selected folders in the folder list and select: Backup/Remove folder. Now you are ready to add the folders to backup select: Backup/Add folder to backup. Continue with adding all the folders which you want to backup.

Decide if all files in the selected folders shall be backed up or only the files which have been changed since the last backup where the archive bit were cleared shall be backed up.

Check the field clear archive bit to get the archive bit of the backed up files cleared after they have been backed up. This makes it possible afterwards to make backup of only the files changed since the last full backup.

In addition to above selection you also have the option to backup files which have been changed after a specific date and time by checking the field Newer than and submitting a date and time.

Now the user shall press OK and the zipping process will continue to create the next Zip file.

The compression factor can be selected by the user. Selecting compression factor over middle will slow down the zipping process and should only be used if the Zip file size is of great importance.
